AI agent implementation: your first agent live in your own systems within eight weeks

KOI AI builds custom AI agents and deploys them into the systems a mid-market company already runs: CRM, ERP, email, ticketing, and document stores. Each agent does one named job, passes a policy check before any consequential action, and routes anything that matters to a person for sign-off. The first agent is in production in four to eight weeks, with first results by week two or three. Fees start at $50K per use case and are fixed against an outcome agreed before work starts. The first prototype is free.

Use cases

What clients put agents on first

Vendor email to purchase order

Reads inbound vendor email, tracks confirmations, and drafts purchase orders and replies for a buyer to approve. No order leaves without a signature.

Compliance documentation and audit evidence

Drafts compliance documentation from source systems, assembles audit-evidence packages, and triages exception reports for a compliance officer's sign-off.

Research synthesis and first drafts

Gathers source material, summarizes it, and produces structured first drafts of proposals and memos in your firm's voice. A named professional owns every output.

Client and pre-visit intake

Captures new-client or pre-visit information into a clean, structured brief before a person picks it up, in the visitor's own language.

Front-desk and guest questions

Answers schedule, dining, wayfinding, reservation, and family questions around the clock, by voice or message, and hands anything unusual to staff.

Demand forecasting and replenishment

Flags stockout and overstock risk by SKU and location and drafts replenishment orders for a buyer's approval.

Documentation in clinical and regulated work

Credential-gated agents capture a visit or a case into structured notes for a clinician or reviewer to check and sign.

Customer-service triage

Classifies inbound tickets and messages and drafts replies. Refunds, credits, and exceptions above a threshold go to a person.

Process

How an implementation runs

  1. Before day one

    The free prototype

Describe one task on the home page. Chepa scopes it in minutes, and a working agent arrives within two business days. You decide with working output in hand.

  2. Week 1

    Scope and baseline

We agree the one metric the engagement is measured on and record your baseline from your own data. We map which actions need approval, who approves them, and what access the agents get.

  3. Weeks 2–3

Build and test with real runs

Agents are built against your systems and tested on real cases with your approvers in the loop. First results are visible here, before full deployment.

  4. Weeks 4–8

    Deploy through approval gates

Production rollout inside your CRM, ERP, and communications tools. Approvers are trained, the runbook is handed over, and the accountability ledger is live.

  5. After launch

    Report and tune

A monthly report in your numbers against the agreed metric, continuous optimization as volumes and policies change, and the next use case scoped.

What you get

The deliverables

  • ◆Custom agents built and tested with real runs
  • ◆Deployment into CRM, ERP, and communications systems through approval gates
  • ◆The approval map: which actions need sign-off and who gives it
  • ◆A runbook so your team runs the agents day to day
  • ◆A monthly outcome report against the metric agreed in week one
  • ◆Continuous reporting after launch
Governance

The controls every engagement runs under

  • ◆A policy check before any consequential action, such as sending, filing, ordering, or changing a record.
  • ◆A named person signs off anything that leaves your company or changes money, inventory, or a customer record.
  • ◆Every agent action is recorded on an accountability ledger you can audit.
  • ◆Agents operate under the access you grant, inside your systems. Nothing is bolted on outside them.
  • ◆Your team is in the approval loop from the first test run, so by launch they know what each agent does and why.
  • ◆One senior KOI consultant signs off every step and is accountable for the outcome.

FAQ

Questions about the AI Agent Implementation

Which systems can KOI's agents work in?

The systems you already run: CRM, ERP, email and messaging, document stores, ticketing, electronic health records through FHIR, and commerce and inventory platforms. If a system has an API or a mailbox, an agent can usually work in it. Where it cannot, we say so during scoping.

How long until the first agent is live?

Four to eight weeks to the first production agent, with first results by week two or three. The free prototype arrives within two business days, before any of that starts.

What does governed mean in practice?

Every consequential action passes a policy check before it executes. Anything that leaves your company or changes a record of consequence waits for a named person's sign-off. Every action is recorded on an accountability ledger you can audit. The agents work under the access you grant, inside your systems.

What happens when an agent gets something wrong?

Consequential actions never execute without a policy check and, where it matters, a person's sign-off, so an error is caught as a draft rather than as a sent order or a filed document. Every action is on the ledger, so what happened can be reconstructed and the agent corrected rather than guessed at.

Do we need to clean up our data first?

No. Agents are built against the data you have, and the scoping week tells you whether a gap would block the result. Most first use cases run on the documents, email, and records already in your systems.

Who runs the agents after launch?

Your team, with KOI in support. Approvers are trained during the rollout, the runbook is yours, and the monthly report shows the outcome in your numbers. A Fractional AI Officer is available if you want ongoing senior AI leadership. It is optional and monthly.
